What you’ll take away
- 1Tie the quote to the actual machine and purchasing business.
- 2Show equipment, accessories and supporting work separately.
- 3Keep missing details beside the current quote instead of guessing.
An equipment quote is easier to discuss when the purchase is specific. A model name alone may leave unanswered questions about the seller, machine condition, installation and the work it will perform. Before requesting financing, build a purchase file that another person can understand without a long explanation. The aim is an accurate description, not a prediction of whether a program will fit.
Identify the exact machine
Record the manufacturer, model, configuration and condition shown by the seller. If a serial number has been assigned, include it in your private file. Label any placeholder information clearly. A similar machine found online should not silently replace the actual item on the quote.
Name the purchasing business
Check the business name and location against the records you plan to use for the request. Note a trading name separately from the legal business name. Ask the seller to correct mismatches on the quote rather than adding an unexplained handwritten correction yourself.
Separate the purchase components
Ask for the machine, accessories, delivery, installation and training to appear as separate items where available. Mark optional items as optional. This makes it easier to explain what is essential to the project and what could be decided later without changing the core purchase.
Describe the operational purpose
Write a short explanation of the task the machine will perform, who will use it and what equipment it would replace or complement. Use observed business needs. Avoid presenting hoped-for sales as established results or assuming that the purchase will solve an unrelated staffing problem.
Track unresolved questions
Keep one question list beside the quote. Include missing specifications, seller contact details and any dependencies on site preparation. Assign someone to follow up on each gap. Keep earlier versions so you can identify what changed when a revised quote arrives.
Put the file to work
Before moving forward, ask a colleague to describe the purchase using only the file. If they cannot tell what is being bought, where it will operate and what remains uncertain, revise the file before submitting a request.
This preparation worksheet does not establish eligibility or determine a financing outcome. If a funding partner’s program may fit, that partner may request more information and makes its own decision.
