What you’ll take away
- Transfer a defined coordination role, not assumed signing authority.
- Give the incoming colleague a map of current records and open questions.
- Update outside contact details through the established process.
An open business request should not depend on one person's memory. A coordinator may go on leave, change roles or ask a colleague to handle a particular question. A thoughtful handoff gives the next person enough context to work accurately without sharing passwords, forwarding every message indiscriminately or presenting assumptions as confirmed instructions.
Separate the business role from account access
Start with the responsibility being transferred. Is the new person collecting information from a seller, maintaining the request summary or answering administrative questions? Those tasks are not necessarily the same as authority to sign documents or make decisions for the business. Write down the role that is changing and the questions that still belong to an owner or another authorized person. If access to a service must change, use that service's established process rather than sharing a colleague's credentials.
Build a short handoff cover note
The cover note should explain the business purpose in plain language, the relevant request reference kept privately and the latest event supported by a message or receipt. It should also name the current internal owner of the work. A handoff that says “everything is with the lender” is too broad unless the record identifies exactly what was sent and what receipt was confirmed. Prefer descriptions such as “the request was saved; an additional information question remains open.”
The next colleague needs a usable map, not a large unsorted archive. Point to the current brief, the records index and the original messages in the approved business system. Identify any file that has been superseded. Keep personal identifiers and unrelated customer or employee information out of the summary.
Divide open items into three groups
Use waiting on the business, waiting on an outside answer, and needs clarification. A missing equipment detail belongs in the first group if the business has not yet asked the seller. A question already sent through the verified request channel belongs in the second. An ambiguous instruction belongs in the third. This separation prevents the incoming coordinator from assuming that another person is working on an item that has never been assigned.
For each item, include the question, the responsible role and the evidence needed to close it. Do not describe a guessed answer as “probably fine.” A visible unknown is more useful than a confident note that cannot be traced to a source.
Confirm how future communication should work
The outgoing coordinator should explain which private route has been used and whether the outside contact has been told about the proposed change. Follow the recipient's process for updating a business contact; an internal handoff does not by itself update a provider's records. Keep the outgoing contact available for any necessary clarification within the business's own arrangements, but avoid parallel, contradictory replies from several colleagues.
Choose one person to maintain the handoff note. If both people make changes during the transition, record which version is current and how discrepancies will be resolved. The aim is continuity of accurate information, not a claim that the request has progressed.
Illustrative example: the bookkeeper becomes the coordinator
In a fictional business, an operations manager starts a request and later asks the bookkeeper to coordinate records. The handoff identifies the current equipment description, the location of supporting files and a seller question that remains unanswered. It also states that the owner still handles any authorization decision. The bookkeeper checks the established process for updating the contact and records the response. No one shares an account password or assumes that the contact change has altered the request's status.
Finish with a read-back
Ask the incoming coordinator to explain the purpose, current evidenced stage and next unresolved question in their own words. If the explanation differs from the file, correct the handoff before further information is supplied. A good cover note makes those differences visible while they are still easy to resolve. Use the preparation page to organize the record locations and responsibilities before continuing through the existing request process.
